What this policy covers
This policy explains how we collect, use, share, and protect personal information across our websites, forms, events, AI tools, and social channels. We aim to comply with Canadian PIPEDA and, when applicable, other laws such as the GDPR (EU/UK visitors) and CCPA (California residents).
The information we collect
You provide directly
- Contact details: name, email, phone
- Event details: RSVPs, ticket preferences, dietary or accessibility notes you choose to share
- Payment/donation info: amount, method, transaction metadata (processed by third-party providers)
- Forms and messages: inquiries, waitlists, surveys, grant collaborations
- Media submissions: testimonials, photos, audio, video you upload or send us
Automatically collected
- Device and usage data: IP address, browser, pages viewed, time on site, referral source
- Cookies and similar tech: for analytics, security, preferences, and (if enabled) advertising/retargeting
From event activities and AI features
- AI DJ and media tools: track names queued, playback logs, interaction history, user-submitted prompts
- Live transcription/captioning: audio streams and generated text, timestamps, speaker labels where available
- Sustainability demos (e.g., piezoelectric installations): non-identifying sensor data about interactions with exhibits
We do not collect sensitive identifiers (e.g., SIN) and we ask you not to submit medical or highly sensitive personal information.
How we use your information
- Provide and improve our services, events, and AI features
- Process donations, ticketing, and pre-orders
- Send confirmations, service messages, and updates you request
- Moderate community content and protect safety, security, and integrity
- Analyze anonymized/aggregated usage to improve design and performance
- Comply with legal obligations and enforce our terms
We rely on one or more lawful bases: consent, performance of a contract, legitimate interests (e.g., site security, service improvements), and legal compliance.
International transfers
Our providers may store or process data outside Canada. We take steps to use reputable vendors and protect your data under appropriate contractual safeguards (e.g., standard contractual clauses where applicable).
AI DJ, transcription, and media features
- What may be processed: audio streams, prompts, generated text, track selections, and interaction logs
- Purpose: provide real-time captions, translations, or media experiences; improve accuracy and safety; detect abuse
- Retention: we minimize retention and, where possible, store only derived outputs needed for service quality, safety, or compliance
- Your choices: you can opt out of non-essential recordings at events where feasible. For public performances or streamed events, transcription may be integral to accessibility.
Payments and donations
Card details are handled by PCI-compliant processors. We receive limited metadata (e.g., last 4 digits, status, timestamps) to reconcile records and issue receipts.
Children's privacy
Our online services are intended for general audiences. We do not knowingly collect personal information from children without appropriate consent as required by law and event context (e.g., family-friendly gatherings). Parents or guardians can contact us to request deletion.
Data retention
We keep personal information only as long as needed for the purposes outlined here, including legal, accounting, or reporting requirements. When no longer needed, we delete or de-identify data.
